Most CRMs come with dozens of reports and dashboards. It's easy to spend hours building charts and learn very little. These five reports answer the questions that actually matter for a small business.

1. Pipeline by stage

How many deals, and how much value, sits in each stage right now? A healthy pipeline has a steady flow from top to bottom. A pile-up in one stage, such as "proposal sent", shows exactly where to focus.

2. Win rate

Of the deals that closed, what percentage did you win? Track it monthly and by lead source. A falling win rate is an early warning that pricing, competition or your pitch needs attention.

3. Lead source performance

Where do your best customers come from: referrals, Google, social media or events? Compare not just the number of leads but how many become paying customers and what they're worth. This tells you where to spend your marketing time and budget.

4. Sales cycle length

How long does it take, on average, to go from first enquiry to signed deal? Knowing this helps you forecast cash flow and spot deals that have stalled for longer than normal.

5. Activity and overdue tasks

How many follow-ups are overdue, and who owns them? This is the most practical report of all, because overdue tasks are usually lost revenue waiting to happen.

Make it a routine

  • Daily: overdue tasks

  • Weekly: pipeline by stage

  • Monthly: win rate, lead sources and sales cycle

A simple rule: if a report doesn't lead to a decision or an action, stop looking at it.

The short version

Focus on pipeline, win rate, lead sources, sales cycle and overdue tasks, and review them on a set rhythm. Worried about cost as you grow? See CRM pricing explained.
